A club needs to establish which collecting society, venue arrangements and local requirements apply to its event. The playlist alone does not answer these questions.

The event record should identify the organiser, venue, type of music use and agreed responsibilities. A performer’s booking should not be assumed to settle every permission. Keeping confirmations and costs with the programme makes preparation clearer and prevents a licensing question from being discovered only after the event.

Plan the music use, not just the playlist

A live performance, recorded background music and public dancing may need different arrangements. The organiser records what is planned, who provides it and which venue or event agreement applies. Music licensing depends on location and use. GEMA examples concern Germany and should not be copied as the licensing process for another country.
