An electronic invoice in a structured format is different from a PDF sent by email. Clubs need to understand which rules apply to their own transactions and jurisdiction. The useful organisational question is how an invoice reaches the right person, gets checked and remains available alongside the underlying purchase.

A clear process assigns responsibility for receipt, approval and accounting. Original files and supporting records need an appropriate storage arrangement. An invoice is part of a workflow
